What we collect and why
The table below sets out what we process, why, and our lawful basis under the UK GDPR.
| Information | Purpose | Lawful basis |
|---|---|---|
| Email address, account identifier, password credential | Create and secure your account, sign you in, let you recover access | Performance of a contract |
| Commander name, profile, banner, Crownfall ID | Identify you to other players and let people send you gifts or support | Performance of a contract |
| Gameplay records — worlds, fleets, research, battles, rankings, season history | Run the game, save your progress, calculate standings and rewards | Performance of a contract |
| Chat messages and communications | Deliver clan, alliance and global chat | Performance of a contract |
| Reports, moderation records and enforcement history | Keep the community safe, investigate reports, apply and evidence sanctions | Legitimate interests — protecting players from abuse and cheating |
| Device information, sign-in times, approximate network location, session records | Protect accounts, detect account sharing and sanction evasion, investigate misuse | Legitimate interests — security and fraud prevention |
| Purchase and transaction records | Process purchases, credit entitlements, handle refunds and disputes | Performance of a contract, and legal obligation for tax records |
| Support conversations | Answer your questions and resolve problems | Performance of a contract |
| Technical diagnostics and crash data | Find and fix faults, improve stability | Legitimate interests — keeping the service working |
| Optional marketing contact | Send you news about Crownfall, if you ask us to | Consent — withdrawable at any time |
Where we rely on legitimate interests, we have considered whether our interest is outweighed by your rights and freedoms, and you can object at any time using the contact details below.
How long we keep it
| Information | Retention |
|---|---|
| Account and profile | While your account is open, then deleted within 30 days of a verified deletion request |
| Gameplay and season history | While your account is open. Aggregated or anonymised season results may be kept indefinitely for historical rankings |
| Chat messages | 12 months, then deleted |
| Moderation reports and enforcement records | Up to 3 years after the sanction ends, so repeat behaviour can be recognised and appeals reviewed |
| Security and session logs | 12 months |
| Purchase and tax records | 6 years after the end of the relevant financial year, as required by UK tax law |
| Support conversations | 24 months |
Where an account is permanently banned, we keep the minimum record needed to recognise and enforce that ban for as long as it remains in force.
The alpha interest list
If you sign up at crownfall.kyvarr.com/alpha to hear when the alpha opens, we store the email address and platform (iOS or Android) you give us, and the date you signed up. That form asks for nothing else, and creates no account.
We use it for one purpose only: to email you when we open the alpha to new invites. We do not use it for any other marketing, and it is kept separate from any game account — even if you later play using the same email address.
Our lawful basis is your consent, given by ticking the box on the form. You can withdraw it at any time by emailing support@kyvarr.com and asking to be removed from the alpha list; we will delete your entry within 30 days of the request.
We keep the list until the alpha has opened to everyone on it, and for up to 90 days afterwards, then delete any entry that has not gone on to become a game account.
Deleting your account
You can ask us to delete your account at any time — see how to delete your account. Some records are kept after deletion where the law requires it, or where we need them to prevent fraud or enforce a ban. Those are restricted and kept only for the periods set out above.
Security and moderation
Access to personal information is restricted according to staff role, and privileged actions require additional authentication. Every administrative action is permanently logged for accountability.
Who we share it with
We use trusted service providers acting on our instructions for hosting, database services, authentication, customer support and payments. We do not sell personal information and we do not share it for third-party advertising.
We may disclose information where we are legally required to, or where it is necessary to protect the safety of a person — including reporting content involving minors to the appropriate authorities.
International transfers
Where personal information is processed outside the UK, we rely on appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement.
Children
Crownfall is not directed at children under 13. If we learn that we hold information about a child under 13, we will delete it.
Your rights
Under the UK GDPR you have the right to access your information, have it corrected, have it erased, restrict how we use it, object to processing based on legitimate interests, receive a portable copy, and withdraw consent where consent is the basis we rely on. To exercise any of these, email support@kyvarr.com from your registered address. We respond within one month.
If you are unhappy with how we have handled your information, you can complain to the UK Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes
We will update this notice as Crownfall develops. Material changes will be announced in game and the date above will change.
